Purpose: How to run the PHR2TSF - Time Sheet Funding Report

Target Audience: HR Coordinators, Research Administrators, Fiscal Managers

The PHR2TSF report contains timesheet data for employees as well as additional funding information, such as grant numbers and fund expenditure end dates. This report can be run at any time during the pay period cycle. The labor distribution listed on the report is the funding used on the timesheet. If the timesheet has not yet been started, it is the funding from the default labor of the job. 

The report can be used for many reasons, but here are some recommended errors that might be identified by running the report. It is best to run the report after timesheet submission and prior to approver deadline to determine if the timesheet should be returned to the employee for correction.

  • correct funding will be charged

  • correct earnings code and hours are entered

  • hours are not listed for days on which grants are closed

  • hours are not listed for holidays or overtime for grants that do not have prior approval

  • compare earnings code and hours charged with the allowable expenditures on a grant

  1. Log into Banner 9 

  2. Type PHR2TSF in the Go To… box 

  3. GJAPCTL opens. 

  4. Press ALT-PAGE DOWN or click the “Go” to get into PRINTER CONTROL. Enter “database” to download the CSV file. 

  5. Press ALT-PAGE DOWN or click on “Next Section” to get into the Parameter Values. Tab to move the cursor to the entry field, use the Down arrow to move to another entry field, or use the mouse. 

Parameters Values 

  • 01-Payroll Year: Enter Payroll Year as four numbers for the calendar year that you want 

  • 02-Payroll ID: Default BW Do not change 

  • 03-Payroll Number: Enter Payroll Number as two numbers for the Run that you want 

  • 04-Chart of Accounts: Default B Do not change 

  • 05-Timesheet Status (optional): Enter a letter to limit results by time sheet status, or leave blank to see all of the time sheets in all of the statuses. To enter more than one Timesheet Status, press “F6” to create a blank line, key in “05” , tab over to the Values field to enter the additional timesheet status. Press Shift + F6 to delete line(s) not wanted   

    • (N) web time sheet not started 

    •  (I) in progress, web time sheet started 

    • (R) returned, web time sheet returned to the originator 

    • (P) pending, web time sheet submitted for approval 

    • (A) approved, web time sheet approved 

    • (C) completed, web time sheet fed to Banner HR 

    • (E) web time sheet in error status 

    • (Y) cancel, web time sheet cancelled 

  • 06-Starting TKL (Optional): Leave Blank to see all the time sheets for an employee. Enter Starting TKL as “T”  and three numbers for the start of the TKL range that you want. 

  • 07-Ending TKL (Optional): Leave Blank to see all the time sheets for an employee. Enter Ending TKL as “T”  and three numbers for the end of the TKL range that you want.  

*Note: To see all the time sheets in one tkl, the Start TKL and End TKL would be the same TKL code. 

  • 08-Employee ID: Enter Employee ID as eight numbers for the employee that you want; leave blank to see more than one employee. To enter more than one Employee ID, press “F6” to create a blank line, key in “08” , tab over to the Values field to enter the next Employee ID. Press Shift + F6 to delete line(s) not wanted. 

  • 09-Timesheet Type (Optional): Enter T for non-exempt time sheets, E for exempt time sheets. Leave  blank for non-exempt and exempt time sheets

  • 10-Fund Code (Optional): Enter the six-digit fund code wanted. To enter more than one Fund, press “F6” to create a blank line, key in “06”, tab over to the Values field to enter the next Fund Code. Press Shift + F6 to delete line(s) not wanted. 

  • 11-Grant Code (Optional): Enter the nine-digit grant code wanted. To enter more than one Grant, press “F6” to create a blank line, key in “11”, tab over to the Values field to enter the next Grant Code. Press Shift + F6 to delete line(s) not wanted.  

  1. Press ALT-PAGE DOWN to get into the Submission section.  If you use these same parameters frequently, you may want to click the “Save Parameter Set” checkbox. Press F10 or click on the “Save” button on the bottom right to run the report. When it is run successfully, a green message will pop up in the top right of the screen. 

  2. Choose RELATED at the top right of the screen and select Review Output (GJIREVO) 

  3. Choose the … next to the Number box. This will bring up the Available Files box. Search for your report name (PHR2TSF), and look for the appropriate date/time the report was run. It may take a minute or two for your file to show up, depending on the file size. You may have to look more than once. 

  4. Select Tools at the top right, click on “Show Document (Save and Print File)” 

  5.  When the “You have selected to Show File (phr2tsf_number) in a browser. Do you wish to  continue?” shows, click Yes (pop-ups for *.alaska.edu need to be enabled) 

  6. The file will come up as text in the browser. Right-click on the page and choose “ Save as”

  7. Choose the desired location on your computer and enter the desired file name with a “.csv” extension.  Change the “Save as type:” to “All Files”. Click “Save”.  

  8. Open in Excel using the “Text Import Wizard” as a 1. Comma delimited file 2. Delimiters of tab and comma 3. Column data format of General.

  9. Save the document as an Excel workbook.
