Overview

Within the Enterprise Service Management (ESM) system assets can be retired through several different methods. The available methods are documented below.

Important
Equipment with an assigned University of Alaska (UA) property tag must have all appropriate disposal forms signed and attached to the asset within the ESM system before the asset can be marked as retired.

Asset Retired Method

The following retirement methods are available to all types of assets stored within the ESM Assets/CIs system.

Asset Retired Method Definition
Method Description
Disposed Asset has been disposed of via landfill. Assets with a UA property tag must have a completed University of Alaska Property Destruction Authorization & Certification form must be attached to the asset record.
Donated An asset that has been donated to a non-profit organization.
Lost Asset has been lost, and has been unlocated for at least one (1) calendar year. A completed University of Alaska Report of Stolen or Unlocated Property form must be attached to the asset record.
Recycled Asset has been sent to a materials recycling entity to be disassembled and recovery of component elements. Assets with a UA property tag must have a completed University of Alaska Property Destruction Authorization & Certification form must be attached to the asset record.
Sold Asset has been sold to an entity external to the University of Alaska System. Unless otherwise approved by UAA property custodian, all assets must be sold through GovDeals. A completed University of Alaska Property Disposal Authorization form must be attached to the asset record.
Stolen Asset has been reported as stolen. A completed University of Alaska Report of Stolen or Unlocated Property form, and a copy of the police report/face sheet must be attached to the asset record.

For support, requests may be submitted anytime using the appropriate Enterprise Service Management form. Requests generate a Ticket which will be worked in order received and urgency by IT Employees with the knowledge and permissions to assist with the request.
