Close a Project

Overview

Project manager may close projects that have been completed, or canceled. Once a project is closed, individuals will not be able to access documents, issues, plan, tasks, or any other items associated with the project.

Completed Project

  1. Login to the ESM system.
  2. Click on the View Applications button.
  3. Click Projects.
  4. In the left column, click the project Name.
  5. In the Project Details window, click Actions, then select Close.
  6. If there are files associated with the project that individuals will continue to need access to, do the following before closing the project.
    1. On the Close Project page, click Go To Briefcase.
    2. Select a Folder to view its files.
    3. Right-click on a file and select Details.
    4. Click Actions, then click Add to File Cabinet.
    5. Repeat steps 2 - 4for all files/folders in the project that you wish to preserve in the File Cabinet.
  7. Choose whether to close any incomplete tasks or issues. If you choose not to close issues and tasks, these issues and tasks will still be open even though the project is closed.
  8. Choose whether to leave the project active. See Deactivate a Project for additional information.
  9. Select a new project status.
  10. Enter a comment on the project status.
  11. Click the Close Project button.

The project's end date will be changed to the day you close that project. If the end date needs to be changed for reporting purposes, please contact the system administrator.

Cancelled Project

Not all projects will be completed, or even started, once they are initially approved. Any project created within the ESM Project application still needs to be closed out, and we follow the same steps as for a Completed Project above, except with the following changes:

  • For the Choose the closed project status and health select Cancelled as the status.
  • Leave the Percent Complete at 0%, or if the project was started and some progress was made, record the last percentage complete known.
  • In the Comments field provide a reason the project was cancelled.

Need additional help or have issues

For support, requests may be submitted anytime using the appropriate Enterprise Service Management form. Requests generate a Ticket which will be worked in order received and urgency by IT Employees with the knowledge and permissions to assist with the request.
