Increase amount of Gmail synced to Microsoft Outlook client using GWSMO

Overview

When you use Google Workspace Sync for Microsoft Outlook (GWSMO) (formally known as G Suite Sync for Microsoft Outlook (GSSMO)), your mail is stored remotely in the could, and cached locally on your computer.  Your UA Gmail account can hold many GB of mail; however, by default GWSMO only syncs 1 GB of mail to your Outlook client. This article will explain how-to increase the amount of your Gmail that is synced to an Outlook client using GWSMO.

What materials do I need?

  • UA Gmail account
  • A computer running Microsoft Windows operating system
  • Microsoft Outlook
  • Google Workspace Sync for Microsoft Outlook (GWSMO client

How do I use this technology?

You can adjust GWSMO local mailbox size by doing the following.

  1. Click the GWSMO icon in your Windows taskbar.
    • The GWSMO icon appears in your taskbar, typically next to the clock. From here you can access the GWSMO settings.
    • If you don't see the GWSMO icon, it might be automatically hidden by Windows. Click the small white up arrow on the taskbar to show all icons.
    • Note: The GWSMO icon will only appear if GWSMO is running.
  2. Choose the Set mailbox size limit.
  3. Select a mailbox size from the dialog that opens. Your options are 1 GB, 2 GB, 4 GB, or Unlimited*. Note that depending on your computer, a larger size might degrade performance when searching and indexing.

* Note: The unlimited size option does not really mean unlimited. Microsoft Outlook limits the size of the local PST file, the exact limit depends upon which version of Outlook you are running. If you select the unlimited mailbox size in GWSMO, your PST file will not exceed the limits imposed by Outlook.

Outlook PST default size limits

  • Outlook 2007: 20 GB
  • Outlook 2010, 2013, 2016, or 2019: 50 GB

For Outlook 2016, and later these defaults can be increased by changing a registry setting; however, you should consider the available space on your local storage before doing so.
