Get Started with Project Surveys

Overview

This article will help Enterprise Service Management (ESM) project managers to create and manage project surveys via the TDNext interface. Project surveys can be used to get valuable feedback from participants such as Project Managers, Team Members, Stakeholders, and Sponsors after a project has been closed. They can help act as a measurement on how the project went overall. It can provide an opportunity for feedback to the Project Manager and/or Project Management Office (PMO) on improvements that should be applied to future projects. Additionally, it can be a good measurement for praise to the project team. With a few exceptions, project surveys function the same way as Ticketing Surveys.

Important
In order to create and manage project surveys, individuals must have access to the Project Management application, with the following permissions in order to utilize the information presented here.
  • Access All Project Surveys
  • Create and Modify Project Surveys
  • Delete Project Survey Responses
  • Delete unused Project Surveys and Project Survey Questions

In this article:

Create a Project Survey

  1. Login to ESM TDWorkManagement.
  2. Click View Applications.
  3. Click Projects.
  4. Click + New button on the toolbar.
  5. Select Survey from the list of options.

Review the Get Started with Ticket Survey article for additional information relating to the Survey Question Bank, and Creating Survey Questions. Generally project surveys should collect stakeholder/project team options towards:

  • Satisfaction with the process
    • Project/program management methodology used
    • Product delivery process/methodology used
  • Satisfaction with the deliverable
  • Satisfaction with the outcome
  • What went well, and what didn't
  • Recommendations for future improvement

Surveying Project Members on Project Close

To send project members a survey upon the closure of a project, do the following.

  1. Login to TDWorkManagement.
  2. Click View Applications.
  3. Click Projects.
  4. In the left navigation, click the Project Name.
  5. Click Manage.
  6. Click Project Details.
  7. Click the Actions button, and click Close.
  8. On the Close Project page, under the Reqeust Feedback section, select a Closure Survey from the dropdown menu.
  9. Select the participants.
    Participants are selected by broad groups of individuals affiliated with the project. If there are no individuals affiliated with the project for a particular option, or if all such individuals have already received survey requests for the project, then the option will be disabled.
    • Resources - Only includes project members with access to TDWorkManagement
    • Client Resources - Only includes members who do not have access to TDWorkManagement
    • Sponsor -
    • Stakeholder(s) -
    • Portfolio Manger(s)
  10. In the Other People field, enter any UA individual who is not included in the Participants list.

View Project Surveys

A Survey Responses tab will be available on the Project Management console. This displays all the current responses to the Closure Survey for the project.

To view project surveys:

  1. Login to TDWorkManagement.
  2. Click View Applications.
  3. Click Projects.
  4. Click the Settings (gear) icon on the right side of the toolbar.
  5. Click Surveys from the list of actions.
  6. Click the Survey name.
  7. Click the Responses tab.

Gotchas & Pitfalls

Project Surveys cannot be made public, and are only intended for project resources.

Need additional help or have issues

For support, requests may be submitted anytime using the appropriate Enterprise Service Management form. Requests generate a Ticket which will be worked in order received and urgency by IT Employees with the knowledge and permissions to assist with the request.
