Work on Projects in the Enterprise Service Management Service Portal

Overview

The University of Alaska (UA) uses Enterprise Service Management (ESM) for project management activities. Project Managers (PM) use the TDWorkManagement (aka TDNext, TDWM) interface to manage the project. In order to facilitate communication and collaboration the PM may add other individuals affiliated with the university as a project resource. Project resources do not have access to same interface (i.e. TDWorkManagement) that PM's have; however, they are able to interact with the project via the ESM Service Portals. The following article will provide guidance on how to accomplish this.

Access Enterprise Service Management Service Portal Projects

  1. Access the UAA Service Portal, or UA Service Portal.
  2. Look at the upper-right corner of the screen.
    • If you see your name, congratulations you're already signed in, proceed to the next step.
    • If you see Sign In, click Sign In and login with your UA email address and password.
  3. If you have been added as a Project Resource, the Projects button will appear in the menu bar as show below.
    • If you do not see this button, please contact the project manager on the project for which you are a resource.
  4. Click Projects.
  5. You will see a list of all projects that are either set as visible to the public, or that have you listed as a sponsor, stakeholder, or resource.
  6. Click the name of the project that you want to work on.

Project Components

As a project resource, you will see several options to work on a project. In the example below, all possible options are listed and described. Some options may not be used for all projects based upon the needs of the project, and how the PM has the project configured.

Component Description
Details General information about the project including current status, and update notes.
Feed An 'audit' log for the project showing the history of edits and updates to the project.
Announcements

General announcements about the project. If you've been added as a resource to the project you can add announcements by clicking the + New button.

Briefcase Reference files/materials that have been attached to the project. If you've been added as a resource to the project, you can add to the folder structure and add files via upload from your computer, or from your UA Google Drive, or UA OneDrive for Business.
Calendar Events and tasks for this project displayed in a calendar format. If you've been added as a resource to the project, you can add a new a new event by clicking the Add New Event button.
Contacts Contact information for all project resources, contacts, project mangers, and stakeholders that have been added to the project. If you've been added as a resource to the project, you can add a contact by clicking the + New button. This must not be used to add contacts who are associated with the University of Alaska system as it will create a duplicate identity record within the ESM system. PM's can add UA individuals via the TDWorkManagement interface without issue.
Issues

Contains a log of items identified during the project. Within the ESM system issues may be:

  • Change
  • Decision
  • Error/Bug
  • Issue/Problem
  • Lesson Learned
  • Question

If you've been added as a resource, you can add an issue by clicking the + New button. You may also provide update and comments on existing issues by selecting the issue to open the detail window.

Risks Contains a log of Threats or Opportunities identified during the project. If you've been added as a resource, you may add a risk by clicking the + New button. You may also provide update and comments on existing risks by selecting the risk to open the detail window.
Links Links associated with the project. This may include links to folders for shared files, access links for applications, links to external support sites, etc. If you've been added as a resource, you may add a new link by clicking the + New button. You may also edit existing links by clicking on the link title to open a detail window, and then click the Edit button.
Plans Plans are the work structure for the project. There may be one, or more plans associated with the project. If a plan task has been assigned to you, it will be listed at the top of the screen under Plans. By selecting an assigned task, and opening the detail window, you can provide updates and comments to the tasks. While updating a task, you can change the Status, and Percent Complete; however, if any sub-tasks are present you will be unable to mark the sub-tasks as complete.

Need additional help or have issues

For support, requests may be submitted anytime using the appropriate Enterprise Service Management form. Requests generate a Ticket which will be worked in order received and urgency by IT Employees with the knowledge and permissions to assist with the request.
