Create and Submit Project Request

Overview

Project requests are created in the Enterprise Service Management (ESM) service portal(s). After they've been created, and submitted, the project request will be reviewed by the appropriate project request evaluator in ESM. Project requests allow the University of Alaska (UA) to structure the intake of new project proposals and gather the relevant data needed for submitted proposals to be properly evaluated.

The nature of questions asked on a project request form may vary depending on the project type; however, they typically gather information on things such as:

  • A problem a customer is trying to solve
  • An outcome a customer wants to achieve
  • The perceived priority of a request
  • Desired start and end dates
  • Funding and budgets
  • Whether a requesting department already has something in the works, or if they are starting from scratch
  • Requirements
  • Specific resources that need to work on the request.

What materials do I need?

  • Internet access
  • Valid University of Alaska (UA) Identity
  • Access to UA ESM Service Portal

How do I use this technology?

  1. Access the applicable ESM service portal.
  2. In the Service Catalog click Project.
  3. Click the applicable Project Request service (e.g. IT Project Request).
  4. Click the Request Project button.
  5. The Project Request form will be displayed.
    • Fill in the required fields, and any optional fields that are relevant.
  6. Click the Save button at the top of the page. The following message will be displayed.

    Important
    At this point the project request has not been submitted for review/consideration. The requestor must complete the following steps in order to submit the project request.
  7. Click Review and Submit this Request to view the unsubmitted request and provide any additional information.
    Incomplete sections will be displayed in the left navigator, and typically include Supporting Documentation.

    1. Click the section that is not marked as complete (i.e. does not have the check mark).
    2. Perform any necessary activities for that section (e.g. Attach supporting documentation, Add Risk, etc.)
    3. Click Mark Complete to verify the section is completed.

    4. Repeat these steps until all sections have been completed.
  8. Click the Review and Submit section.
  9. Review the request, once complete click Submit at the top of the page.

    • The following confirmation dialog will appear informing

      Click Ok.
  10. The page will refresh showing that the Request Submitted Successfully!

Need additional help or have issues

For support, requests may be submitted anytime using the appropriate Enterprise Service Management form. Requests generate a Ticket which will be worked in order received and urgency by IT Employees with the knowledge and permissions to assist with the request.
