Project Closure Process

Overview

The project closure process formally ends a project by verifying all deliverables are complete, securing stakeholder sign-off, finalizing budgets and contracts, capturing lessons learned in a post-mortem, archiving documentation, releasing resources, and celebrating the team's efforts, ensuring a proper handover and documented success for future projects. This final phase ties up loose ends, assesses project success, and transitions outcomes to operations, preventing future scope creep and informing next projects.

Key Steps in the Project Closure Process

Project closure typically include some, or all, of the following processes, and may include others, depending upon the size, magnitude, complexity, and impact of the project.

  1. Verify Deliverables & Scope: Confirm all promised work meets requirements and get formal client/stakeholder acceptance and sign-off. 
  2. Finalize Finances: Reconcile budgets, process final payments, and close out financial accounts. 
  3. Close Contracts & Vendors: Settle all obligations with suppliers and contractors. 
  4. Capture Lessons Learned: Hold post-mortem or after-action review meeting(s) to document what worked, what didn't, and how to improve. 
  5. Archive Documentation: Store all project files, reports, and designs in a central, searchable location. 
  6. Transfer Knowledge & Operations: Hand over project outputs, training materials, and support plans to the operational team. 
  7. Release Resources: Reallocate team members and revoke system access. 
  8. Celebrate Success: Recognize and appreciate the team's contributions. 
  9. Formal Closeout & Communication: Officially communicate project completion to all stakeholders. 

Next Steps

Once the project's closure process has been completed, the project manager then proceeds to close the project.
